Position Descriptions & Application Forms
Responsible for the "Assisted Daily Living" duties and functions that allow the residents to be clean and comfortable. i.e. transferring, mobility, bathing, changing briefs, toileting, oral hygiene, grooming, dressing, etc.
Physically ensures the Residents get to appointments such as salons, transportation, activities and meals, including pushing wheel chairs, following closely behind walkers, keeping track of/responding to schedule.
Responsible for the Residents under their care & recording communications for co-workers, shift summaries, etc.
You must have/be able to:

General Summary: We have an opening in our Oregon regional Masonic headquarters for a full-time Administrative/Clerical support position. This is a front office position that provides complex clerical support to the Oregon offices of one of the world's largest fraternal organizations. This position works directly with the Grand Lodge Executive Team. The position offers a variety of activities with varying complexity. Duties are performed under direct supervision of the Executive Director, with established procedures and guidelines.
Job Functions:
- Greets and assists all Grand Lodge visitors. Answers phones, takes accurate messages and distributes to appropriate personnel in a timely manner.
- Maintains membership records including changes of address, monthly reports, petitions, and provides general administrative support for all of the Organization's in-state Lodges. Coordinates mailings and generates materials for presentations, awards and certificates honoring member milestones.
- Coordinates, creates, copies and distributes materials for Annual Communication meeting. Provides on-site member administrative support at meeting.
- Produces Grand Lodge-related written correspondence. Enters and retrieves computer data. Generates reports, labels, printouts and lists as needed.
- Handles other general office and administrative duties as assigned by the Executive Team, i.e. filing, typing, sorting, stapling and copying. Processes daily mail, codes incoming checks and makes cash deposits when necessary. Tracks Grand Lodge office supplies using QuickBooks. Fills and distributes ongoing supply orders.
- Proofreads publications before they go to print.
- Ensures the Executive Team is kept informed of all issues of concern to the organization.
- This job may require day traveling to seminars or to the Annual Communication.
Specific Skills:
- Excellent inerpersonal skills, with demonstrated effective oral and written communication skills.
- Ability to maintain cooperative working relationships with those contacted in the course of work and Lodge activities.
- Proficient technical skills in Word and Excel, and knowledge of SQL Server
- Skills in reading, math, creative writing, problem solving, and the ability to work under a variety of situations in a positive constructive manner.
- Demonstrated ability to be organized, well prepared, set and meet deadlines, work unsupervised, work under pressure and make responsible decisions and judgments.
- Technical ability to do many daily tasks via computer, i.e. e-mails, spreadsheets and word processing.
